a. Personal & Identity Information
- Full name, employee ID, department/designation
- Contact details: email address and mobile number
- Login credentials - Employee ID with OTP base.
b. Biometric & Attendance Data
To register and verify attendance we collect:
- Biometric templates or hashes (fingerprint / face templates) captured via authorized biometric devices — templates are stored in encrypted form where supported
- Punch logs and attendance records (punch-in, punch-out, timestamps, device ID)
- Work hours, shift information, and related metadata
c. Location & Device Data
- GPS coordinates when marking attendance through the mobile app (used to verify location)
- Device type, operating system, app version, IP address, and device identifiers
d. Usage & System Logs
- App usage logs, error reports, and analytics data to improve the App
- Audit trails for security and compliance
2. How We Use the Information
We use collected information for the following purposes:
- Register and manage employee accounts and profiles
- Record, verify and process biometric attendance and mobile punches
- Produce attendance reports, exports, and payroll inputs for your employer
- Validate location-based attendance and prevent misuse
- Send notifications, alerts, and system messages related to attendance
- Maintain security, investigate incidents, and comply with legal obligations
- Improve App functionality and performance via analytics
3. Legal Basis & Consent
Where applicable, processing of your personal and biometric data is based on:
- Your consent (for mobile attendance location and some device permissions)
- Performance of a contract with your employer (attendance tracking and payroll)
- Legal compliance or legitimate interests (security, fraud prevention)
4. Data Storage, Security & Encryption
We implement appropriate technical and organizational measures to protect your data:
- Biometric templates and sensitive data are encrypted at rest and in transit.
- Access controls and role-based access limit who can view attendance or biometric data.
- Regular security assessments and backups are performed. However, no system is 100% secure.
5. Data Sharing & Third Parties
We do not sell or rent your personal data. We may share data in the following limited situations:
- Your employer / HR: Attendance records, reports and necessary employee details for payroll and HR processing.
- Service providers: Hosting, analytics, and biometric device vendors acting under confidentiality agreements.
- Legal requests: If required by law, court order, or to protect rights and safety.
6. Mobile App Permissions
The mobile app may request permissions required for core functionality:
- Location: To verify where a mobile attendance punch is made.
- Camera / Biometric sensors: If face capture or device-level biometric verification is used.
- Storage: Temporary storage of logs or attachments (if any).
You can review and revoke permissions via your device settings; revoking location or biometric permissions may prevent mobile attendance from working correctly.
7. Data Retention
We retain personal and attendance data only as long as necessary for operational, contractual, or legal reasons. Retention periods may be set by your employer or by applicable law. When data is no longer required we securely delete or anonymize it.
8. Your Rights
Depending on local law, you may have rights to:
- Access and obtain a copy of personal data we hold about you
- Request correction of inaccurate information
- Request deletion of your personal data (subject to employer policies and legal retention requirements)
- Withdraw consent for specific processing activities where consent is the legal basis

9. Children’s Privacy
The App is intended for employees and is not directed at children under 13. We do not knowingly collect personal data from children.
10. International Transfers
Data may be stored and processed in servers or service providers located in other countries. Where transfers occur, we take steps to ensure appropriate safeguards are in place to protect your data.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated policy in the App with a revised “Last Updated” date. Continued use of the App after changes indicates acceptance of the updated policy.
